Executive Administrative Assistant

Seeking an Executive Administrative Assistant, who provides high level of administrative support by conducting research, preparing statistical reports and presentations, handling information requests and managing executive schedules along with a variety of planning, communication and organizational responsibilities. A qualified candidate will have a desire to work with a values driven organization while having the ability to communicate effectively, remain organized and have the ability to apply analytical thinking to identify and solve problems.

Essential Job Duties and
Responsibilities:
Manage and maintain executive schedules, appointments, and travel arrangements
Create, edit and maintain databases as required.
Prepare and edit reports, correspondence, communications, presentations and other documents for board and executive meetings. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Establish, maintains and updates filing system for documents and reference materials. Retrieves information from files when needed.
Arrange and coordinate meetings and events. May include making catering arrangements, set up and take down.
Record, transcribe and distribute board and executive meeting minutes
Ensures integrity of confidential communications.
Review operating practices and implement efficiencies where necessary
Manage and organize executive mail. Drafts written responses as requested. Responds to regularly occurring requests for information
Answer and manage incoming phone calls. Takes messages, answers or directs questions to appropriate internal stakeholder.
Acts as a liaison with all internal and external stakeholders.
Works independently or within a team on special nonrecurring and ongoing projects. May acts as project manager or team member for special projects
Other duties as assigned

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
