Maintain comprehensive records and administrative systems, handle confidential information requests, coordinate and prepare for meetings.
Responsibilities Decision-Making:
Makes decisions regarding written correspondence, information requests, records management and calendar maintenance keeping CEO informed and seeking advice as needed.
Technical:
Work with the Leadership team to document systems and continuously improve efficiencies Manage insurance policy updates, renewals, claims and certificates of insurance Administer the property management process from initial offer to closing, coordinating lot maintenance and processing property tax exemptions Develop and manage the process of ensuring compliance with and maintaining internal policies Maintain employee records; admin support for employee recruitment process; manage accident reporting and claims process; liaison to Insperity for payroll and benefits administration; coordinate the on-boarding process Oversee cleaning, landscaping and other facility support contract services; manage facility key management Administer the vehicle fleet driver compliance reporting Develop and manage a system to schedule, track and follow through on CEO's outreach activities; follow up on contacts made by the CEO to cultivate ongoing relationships; document activities through Salesforce Administrative support:
Schedule, arrange logistics and prepare materials for meetings and calls on behalf of CEO and COO Act as a liaison and provide support to the Board of Directors; arrange and handle logistics for Board meetings and events; schedule meetings; compile and distribute presentation materials; record meeting minutes on behalf of Board Secretary Complete administrative tasks that facilitate the CEO's ability to effectively lead the organization, including:
assisting with special projects; designing and producing documents, reports and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists Support finance-related functions, including record-keeping projects, filings, special mailings and other related projects as needed by the Director, Finance.
Supervisory:
Oversee office volunteers for special projects under this position's purview Internal Representation:
Develop strong, positive and lasting relationships with the Board, staff and volunteers throughout the organization.
External Representation:
Develop and maintain relationships with key donors, vendors and service providers Required Knowledge, Skills and
Experience:
At least 3 years experience providing direct administrative support to members of a leadership team.
Superior organizational skills, with exceptional attention to detail.
Advanced proficiency with Microsoft Office products and Salesforce or other CRM system, and ability to learn and use new technology with ease.
Excellent written and verbal communication skills, using diplomacy and tact.

Ability to establish effective internal and external working relationships.
Ability to identify and establish priorities, work independently, and exercise sound judgment related to providing support and assistance.
Ability to identify problems in a timely manner, make recommendations toward solving problems, and work well in group problem solving situations.
Outstanding interpersonal communication skills which must be effective and courteous, requiring high integrity when dealing with a broad array of backgrounds.

The check will bounce and the victim is left responsible.
